Please complete the below form if you'd like to be considered as a merchant for our market. Applications will be reviewed, and once approved, you will receive an email to pay the associated fee. Vendor fees are broken by vendor type:

Standard vendor space size is 10x10. Anything over this size will require review, but we will do our best to accomocate. We allow for Food Trucks.

Pop-up, Tent, and/or Food Truck size

Vendor Fee

This is a rain or shine outdoor event. Standard vending spaces are 10'x10'. Additional space will be provided upon request. Please provide your own tables, chairs, tents, etc. Electricity will not be provided. Confirmation of acceptance and vendor fee payment link will be provided via email.


The below is a breakdown of our vendor fees. Your application will be reviewed and if approved, a payment link will be sent to you. Fee must be paid before final confirmation.


Themed Vendors: $75 (medieval, fantasy, fairy, etc)

Non-Themed Vendors: $150 (modern, etc)

Food Vendors: $100 (must also provide proof of general insurance)

Food Trucks: $150  (must also provide proof of general insurance)


Setup & Breakdown

Vendor set up will be available starting at 9am.

Breakdown begins at 5pm. Vendors agree to not begin breakdown until 5pm.

Event Policy

We support our guests inclusive of their race, color, ethnicity, religion, ancestry, national origin, nationality, immigration status, primary language, sex, gender, sexual orientation, or expression, gender identity or expression, marital/domestic partnership/civil union status, family structure, socio-economic status, physical appearance or body size, mental, physical, or sensory ability, or any other distinguishing characteristic.


We have a zero-tolerance policy for harrasment, discrimination, hate-speech, and discrimination.


We ask that our guests, vendors, performers, staff, and volunteers acknowledge this statement and unable or unwilling to comply, self-select to not attend. We reserve the right to remove anyone violating our policies without refund.

Liability Waiver

In consideration of participating in MedievalFest on Sunday, August 24th, 2025, I hereby release, waive, discharge and covenant not to sue Montclair Early Music, The Montclair Museum, their officers, agents, employees or volunteers from or for any and all liability, claims, demands, actions and causes of action whatsoever arising out of or related to any loss, damage or injury, including death that may be sustained by me or my associates, or any of the property belonging to me or my associates, whether caused by negligence or otherwise, while participating in MedievalFest, or upon the premises where the activity is being conducted. In signing this release, I acknowledge that I have read the above and sign it voluntarily as my own free act and deed, and that I am at least eighteen (18) years of age, and/or am the parent or legal guardian of the individual participating in the event.
